Objectives of this Tutorial

Generally: To preview your document before printing and to set different print options.

Specifically: On completion of this lesson you will be able to:

  • Set page orientation and paper size
  • Align text vertically
  • Insert page breaks
  • Change the zoom level and view a document in full screen mode
  • Use Print Preview
  • Print a document
  • Print the current page, selected text or a range of pages
  • Cancel a print job

Change Page Orientation and Paper Size

Orientation is the direction of the paper when printing. Text is normally printed in portrait orientation with the short sides of the paper at the top and bottom. When the long sides are at the top and bottom the orientation is called landscape.

Depending on the printer attached to your computer you may be able to use different sizes of paper. You should set Word to use exactly the size of paper you are printing on otherwise the documents may not print out correctly. Standard paper in the UK is A4; in the US it is Letter.

Note: Page Setup formatting can be applied either to the whole document or to selected sections in a document and can be made the default for all new documents or changed for each new document started.

To change page orientation and paper size

  • From the File menu, select Page Setup...

The Page Setup dialogue box is displayed.

Page Setup dialogue box

  • Select the Margins tab
  • From the Orientation panel, select a page alignment option
  • Select the Paper tab
  • From the Paper size: list box, select a standard paper size, or enter the actual dimensions of the paper in the Width: and Height: boxes

The Preview panel displays the effect of the paper size and orientation settings.

  • Click OK

Tip: To keep the selected settings as standard for all new documents (based on the Normal template) click the Default... button.

To align text vertically

Paragraph alignment allows you to align text between the left and right margins. You can also position text relative to the top and bottom margins.

  • From the File menu, select Page Setup... and click the Layout tab
  • From the Vertical alignment list box, select an option (Top, Bottom, Center or Justified) then click OK
