DESCRIPTION

The purpose of this tutorial is to make the most efficient use of all the Outlook components by having them summarised in the Outlook Today view, use Outlook to browse the web and to customise the command bars.

Float and Dock Toolbars

To float a toolbar

Toolbars can be displayed either floating or docked. A floating toolbar is not attached to the edge of the window and can be moved around the screen.



  • Move the mouse pointer to the move handle on a docked toolbar



  • Drag the toolbar away from the edge of the window

A grey outline indicates the new position of the toolbar.

  • When the toolbar is positioned correctly, release the mouse button

To dock a toolbar

A docked toolbar is attached to one side of the window. You can dock a toolbar below the Title bar, or to the left, right or bottom of the window. When you drag a toolbar to the edge of the window, the toolbar outline snaps into place along the edge of the window.



  • Move the mouse pointer to the Title bar on a floating toolbar
  • Drag the Title bar towards the edge of the window

A grey outline indicates the new position of the toolbar.

  • When the toolbar is positioned correctly, release the mouse button

To resize a toolbar

A floating toolbar can be resized.

  • Move the mouse pointer over any toolbar edge

The mouse pointer changes to a double-headed arrow.

  • Drag the edge of the toolbar

Customise Toolbars

You can customise toolbars by adding and removing toolbar menus and buttons. This works for toolbars in the main Outlook components and for mail and task forms.

To change commonly used buttons on a toolbar

  • Click the Toolbar Options arrow at the end of the toolbar
  • Click Add or Remove Buttons
  • Click the toolbar name, for example, Advanced

A list of buttons associated with the toolbar is displayed.



  • Click the button to add or remove

Buttons with a tick next to them appear on the toolbar

  • Click away from the button menu to finish

Tip: The changes will apply to the toolbar in all components (for example, if you remove the Delete button in Calendar view it is also removed in Inbox view). Click Reset Toolbar to display the default button set on the toolbar again.

To remove an individual menu or button from a toolbar

  • Hold down the Alt key
  • Move the mouse pointer to the menu or button you want to remove
  • Drag the menu or button away from the toolbar

To move an individual menu or button on a toolbar

  • Hold down the Alt key
  • Move the mouse pointer to the menu or button you want to move

A vertical line on the toolbar indicates the new position .

  • Drag the menu or button to a new position on the toolbar

To add a menu or button to a toolbar

You can also add buttons for any Outlook function to any toolbar or menu

  • Right-click over any toolbar and click the toolbar you wish to display
  • Right-click over any toolbar and click Customize...
  • Select the Commands tab

The Commands tab in the Customize dialogue box is displayed.



  • In the Categories: box, click a category

The commands available in that category are displayed in the Commands: box.

  • Drag the command you want from the Commands: box to the displayed toolbar

A vertical line on the toolbar indicates the new position .

Tip: To add a built-in menu to the toolbar, click in the Categories: box then select Built-In Menus. Drag the menu you want from the Commands: box to the displayed toolbar.
